Application Processing

You may choose to process your students’ applications in batches by clicking on the “Follow-up” on Student’s Application link or process individual applications with the “by file” link.

The only option available to you is to display the “Follow-up on Student’s Application” page for the student’s application because the decisions are entered by the Québec home institutions.

Batch processing

If you choose to process batches of applications, a menu listing the status of all your files will be displayed. You can limit the display by selecting, in the following order:

  1. a Québec home institution
  2. a term
  3. a general field of study in Québec.

Each of these pull-down menus contains only the values found for all of the applications submitted for the administration year being processed.

The menu shows all of the applications based on their file status and the number of applicants that match the selection criteria you previously entered:

  • applications being processed are applications that need to be processed by your institution or those that are waiting for the student to register:
    • under review means the applications are awaiting a decision
    • accepted means the applications are awaiting the students’ decision regarding your offer to admit them
  • applications processed are applications that have already been processed by your institution; they are labelled:
    • registered when an admitted student has registered at your institution
      when a student’s application to attend your institution was refused after review
    • refused when a student’s application to attend your institution was refused after review
    • withdrawals
      • withdrew before admission when the student withdrew his application while the file was being reviewed at your institution
      • withdrew after admission when the student withdrew his application after being admitted and did not register
    • dropped out when a registered student dropped out after beginning his study program at your institution.

Applications that may be received are those that are currently being reviewed by another host institution; your institution may receive them for processing if the first institution refuses the students (these applications are not counted with the applications in the selection menu):

  • as 2nd choice are applications that are currently being reviewed by the students’ first choice host institution and your institution is their second choice
  • as 3rd choice are applications that are currently being reviewed by the students’ second choice host institution and your institution is their third choice.

You can select applications on the basis of their file status. You can also choose to sort the list by surname or by application number (number generated by the system and displayed in the top right corner of the application or on a list displayed after file selection). You can refine your selection by entering at least the first letter of the surname to display applicants who match what you entered. The same principle applies to the application number.

Once you have entered your selection criteria, click the button to display the list of files.

If you selected a number of files to display, each page in the list will be limited to the number of files requested. Click on the button to display the next page.

The button will take you back to the selection menu.

Processing by file

If you want to process a specific file, in the appropriate box, enter the first letters of the student’s surname or given name or the application number (number generated by the system and displayed in the top right corner of the application or on the list displayed after file selection). All files for which the student surname or given name begins with what you entered or the file that matches the application number will be displayed.

If you enter an asterisk “*” in the name box, the system will display all applicants for that administration year. If the system does not find any files, it will tell you.
